Running karaoke night without a $3,000 subscription: a host's setup guide

How bars, KJs and event hosts build a request library they own, export once, and play from any laptop.

If you host karaoke, you already know the math: the cloud catalog costs you monthly forever, the Wi-Fi at the venue is a coin flip, and the one song the birthday girl wants isn't in the library. Here's the alternative a lot of KJs are moving to — build the videos you need, once, and own them.

The kit

  • A Windows laptop (the Builder is light; anything from the last five years works).
  • Licensed backing tracks for your request list. Backing-track stores sell them with performance rights; keep the receipts.

Build the request list first

Don't try to build 2,000 songs. Pull your last three months of requests, count them, and build the top 60. That covers most nights. Add five a week after that.

Batch-build workflow

  1. Drop the instrumental and a lyric sheet into the Builder.
  2. Proof the first verse and the chorus — two minutes each.
  3. Apply your venue preset (your logo in the corner, your colors, big type for the far tables).
  4. Export MP4 to Karaoke/Artist – Title (Key).mp4.

Thirty songs is an afternoon. It's boring. It's also the last time you pay for those songs.

Playing the night

Any video player with a playlist works. VLC and a second display is the classic setup. Because the files are local MP4s, venue Wi-Fi is irrelevant.

The rights bit, plainly

  • Instrumental tracks: buy them from a store that sells performance-licensed backing tracks.
  • Lyrics: covered by the venue's performance license (PRO license) in most territories — check yours.
  • D107 doesn't supply either. It just builds the video from what you bring.

FAQ

Can I put my bar's logo on every video? Yes — presets store a logo, position, and opacity. Set it once.

What if I need a different key for a singer? Build the alternate-key instrumental as its own video and name it clearly. Hosts usually keep 2–3 keys for the big ballads.

Does it need a fast PC? No. The Builder exports a 4-minute 1080p video in about the time it takes to pour two beers.
